Information we use

To place and receive an order, you need to provide the details marked as required at checkout, including your name, contact details, billing and delivery address and order choices. Without them we may be unable to accept or deliver the order. When you contact us, we may also use your telephone number if you provide one, order and payment status, delivery and tracking details, messages and any files or photographs you choose to send. The shop also keeps records of refunds and customer-service actions. A customer Gallery upload may include a photograph and optional caption.

Why we use it

Orders, payment administration, delivery, returns and refunds: we use the information needed to take and fulfil your order and handle after-sales requests. Our lawful basis is that this processing is necessary to perform our contract with you.
Tax and accounting records: we keep the records required by law. Our lawful basis is legal obligation.
Enquiries, postage quotations, service and security: we use relevant details to answer you, manage the shop, prevent misuse and protect business and customer records. Our lawful basis is our legitimate interest in running a small shop, responding to customers and keeping its services and records secure. We consider that use proportionate to those purposes.
Customer photographs: we review submissions before any public Gallery display. The upload form asks you to give permission for an image to be shown publicly if approved. We rely on that permission for publication; you can contact us to withdraw it. We may retain a submission privately while reviewing it or handling a related enquiry.
Private Management notifications: authorised managers may enable browser push notifications for shop events. The plugin sends generic alerts and stores an encrypted browser subscription and technical endpoint so it can deliver them. This supports secure shop administration and is based on our legitimate interest in managing the business. Managers can disable notifications in Management Settings; logging out removes the server-side registration.

Who receives information

The website is hosted by WordPress.com. WooCommerce manages the catalogue, basket and order records, and our Kookie Collar Shop plugin provides the private Management interface and stores related business records on the website. WooPayments processes card payments and payment-related information; its payment partner is Stripe. The shop does not store full card numbers or security codes in the custom Management system. Titan provides our business email service, which may receive and store the emails you send and our replies. We share the name and delivery details needed with the courier or delivery service used for your order. Browser push providers receive the technical information needed to deliver an alert to an authorised manager’s device. Approved Gallery photographs and captions are publicly displayed on the shop.

Cookies and device storage

WordPress, WooCommerce and WooPayments use cookies or similar technical storage for functions such as the basket, checkout, login, security and payment processing. The Kookie Collar Shop plugin does not add an advertising or analytics tracker. If you use a product like button, the shop stores a random browser identifier in local storage to prevent repeat likes from the same browser; it remains until you clear that browser storage. WordPress.com or other enabled site services may use additional technologies under their own settings and notices. More information is available in the providers’ privacy information linked below.

How long we keep information

We keep business income, expense, order and refund records for at least five years after the 31 January submission deadline for the relevant Self Assessment tax year, and longer where a late return, dispute or other legal requirement means we must. We do not automatically delete those financial records. We review ordinary enquiries, message attachments and customer photographs and remove or anonymise them when they are no longer needed for customer service, a related dispute or another lawful purpose. We do not promise an automatic deletion date. We keep a Gallery photograph publicly only while the owner has approved it and the permission remains in place, subject to legal or dispute-related retention needs.

Processing outside the UK

WordPress.com/Automattic, WooPayments/Stripe, Titan, couriers and browser push services handle information under their own service terms. They may process it in countries outside the UK. The precise locations and transfer safeguards depend on the services and account arrangements in force. Please consult their current privacy information for details: Automattic and WordPress.com, WooPayments and payment privacy, Titan Mail.

Your rights

Depending on the lawful basis and circumstances, you can ask us for access to your personal information, correction of inaccurate information, deletion where applicable, restriction of processing, object to processing based on legitimate interests, and, where the legal conditions apply, receive certain information in a portable format. You may withdraw permission for public display of a Gallery photograph. Some order, payment, tax and dispute records must be kept where the law or a continuing legal need requires it. Contact us at hello@thekookiecollarshop.com to make a request. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

Cookies and provider information

Essential basket, checkout and security storage supports the service you request. The Information Commissioner’s Office explains the rules for cookies and similar technologies at ICO: cookies and similar technologies.
